Interested in Volunteering at the SETAC Europe Annual Meeting?

Be part of something bigger by joining the SETAC Europe 35th Annual Meeting as a volunteer! We're looking for enthusiastic and motivated students to help make this event a success. From assisting in session rooms and at the registration desks to aiding with presentation uploads and award processes, you'll play a vital role in the conference's smooth operation.

By volunteering you gain invaluable first-hand experience at an international conference while expanding your professional and personal networks. It’s a fantastic opportunity to collaborate, learn, and forge connections that could lead to future collaborations—and lifelong friendships!
 

Who Should Apply?

Students should meet the following criteria:

  • Have an affinity with Environmental Toxicology and Chemistry;
  • Have a SETAC student account (free, explorer or full);
  • Be fluent in spoken and written English;
  • Have a cooperative and respectable attitude.

As a volunteer, you’ll be rewarded with:

  • Complementary registration for the 2025 and 2026 annual meetings;
  • Complementary annual full SETAC membership;
  • Ticket to the student gathering at the meeting;
  • Accommodation in shared dorm rooms (hostel);

Potential Tasks and Schedule

The tasks and schedule may be subject to change. All volunteers are expected to be available:

  • Saturday, 10 May at 15:00 (meet-up at the venue)
  • Sunday, 11 May to Wednesday, 8 May from 7:45 to 18:00
  • Thursday, 15 May from 7:45 to 15:00. 

Volunteers can be assigned to various areas:

  • Registration Desk: welcome meeting attendees, assist with badge printing, hand out delegate materials and answer questions. The desks are busiest on Sunday and Monday, but usually, you’ll have opportunities to attend sessions starting on Tuesday.
  • Session Assistance: help session chairs and presenters with technical setup and liaise with floating technicians and SETAC Staff. Session volunteers will not be able to visit many meeting activities outside the assigned session room, however, there is some flexibility to choose the session blocks that are of interest to you.
  • Speaker-Ready Room Assistance: assist presenters with uploading and updating their presentation slides and work closely with technicians. While the speaker-ready room must always be manned by one person during the opening hours, the two volunteers can arrange a rotation between themselves.  
  • Exhibition/Events Services: welcome exhibitors and assist SETAC staff with various tasks, for example, social activities. The schedule is busy, especially on Sunday and Monday but allows for some flexibility.
  • Best Presentation Award: assist with training courses on Sunday and assist SETAC staff with the judging forms and coordination of the Best Presentation Awards. The schedule is usually quite flexible with a peak on Sunday and Thursday.
